2. Data We Collect

• Account Data: Name, email, company name, phone number (provided at registration)
• Usage Data: Message content processed through WhatsApp, API query logs
• Technical Data: IP address, browser type, device information (collected automatically)

3. How We Use Your Data

• To provide and maintain the SayPartner service
• To process WhatsApp messages and route them to your business systems
• To improve service quality and user experience
• To ensure security and prevent fraud
• To comply with legal obligations

4. Data Sharing

We share data only with the following third parties, solely for service delivery:

• Google (Gemini): For natural language processing of messages, photo interpretation, voice message transcription and embedding generation
• Meta (WhatsApp Business API): For message delivery
• Amazon Web Services (EC2 / S3): For data hosting and backup in Germany (eu-central-1, EU)
• Cloudflare: For connection security and traffic routing
• Google (Analytics 4 / Tag Manager): For website usage measurement on saypartner.com (see §8 — Cookies)
• Microsoft (Office 365 SMTP): For outgoing e-mail delivery, where the default mail relay is used

We never sell your data to third parties.

5. Data Retention

• Message history: 6 months
• User profiles: 1 year
• Audit logs: 2 years
• Deleted accounts: 30 days (then permanently erased)

Status of these periods: the figures above are our retention targets. Automatic time-based deletion is not yet switched on in production; today, deletion happens on request (see §7) and rows older than the target may still exist. We state this rather than let the table read as an accomplished fact.

6. Security

We implement industry-standard security measures including:

• AES encryption for credentials at rest
• HTTPS/TLS for all data in transit
• Multi-tenant data isolation
• Rate limiting and brute-force protection
• Regular security audits

8. Cookies and Website Analytics

Besides essential cookies, saypartner.com loads Google Analytics 4 (measurement ID G-5PBZCSV5MH) through Google Tag Manager. We use no advertising cookies and we do not sell audience data.

• The analytics script is loaded on every page view; the request itself reaches Google even before you answer the consent banner.
• Until you accept, Google Consent Mode v2 is set to denied: no analytics cookie is written and measurement is limited to cookieless signals.
• If you accept, analytics storage is enabled and a first-party analytics cookie is set.
• If you decline, we keep the denied state; the script stays loaded but does not store anything on your device.

9. Changes

We may update this policy from time to time. Material changes will be communicated via email or in-app notification.
